Important Logistic Information
- Holding the Student-Leadership Conference requires several rolling pieces to consider such as:
- Misc - Usually VACUHO will coordinate the awards ceremony and logistics for promoting higher education programs across the state.
- Programming - Traditionally, the conference will have opening, closing ceremonies along with a keynote speaker and programming/break out sessions coordinated by the institution for both delegates and advisors
- Lodging - Depending on the location of your campus would further institutions need to consider local hotels and would a room block need to be secured.
- Facilities - Would you have adequate dining facilities and conference space in either a student union or academic classroom/auditorium space for opening, closing, break out, social, and swap shop sessions.
- Conference Size - Depending on the size of your institution, would there be enough space for all participants or would you need to limit the number of delegates and advisors each school can bring.
- Do you have the support of your Senior Housing Officer and Campus?
- Before proceeding, you will need the support of your Senior Housing Officer
- After that consider if your campus, internal department stakeholders, and external campus partners would provide support. If you do not have support from either, here are some things to help them consider
- Hosting the VACUHO Student-Leadership Conference is a great way to promote your residential program and campus
- Opportunity to provide professional development experience to conference coordinators
- Opportunity to provide growth and development of student-leaders on your campus and across Virginia
- What level of support would you need from the VACUHO Governing Council?
- We understand that coordinating a conference can be challenging which is why the VACUHO Governing Council and Student Leadership Committee serve as an advisor. We ask that you share what level of support you might need from the Council in the successful implementation of the annual Student-Leadership Conference. Support could take the form of:
- Communication - Spreading the word to other institutions and timeline of the planning process
- Registration - Assistance in budgeting for the conference, financial support, payment processing.
- Programming - Help in identifying keynote speaker or creating a program submission process for delegates and advisors
- We understand that coordinating a conference can be challenging which is why the VACUHO Governing Council and Student Leadership Committee serve as an advisor. We ask that you share what level of support you might need from the Council in the successful implementation of the annual Student-Leadership Conference. Support could take the form of:
- Enhanced Reputation
- A conference demonstrates a commitment to academic excellence, attracting attention from local and international communities.
- This can increase admissions, interest in job search at said institution, and student involvement through professional development.
